Export & Import

Download a Connected Table as Excel, PDF, Word or CSV, or fill it from a CSV or Excel file. Both run entirely in your browser — files are never uploaded anywhere.

Exporting a table

  1. Open the table on the issue’s Apps panel or on a portal request.
  2. Click the Export (download) icon in the table toolbar. It’s there both while viewing and while editing.
  3. Pick a format. The file is prepared and downloaded straight away.

Formats

FormatBest forWhat you get
Excel (.xlsx)Further analysis, sharing with spreadsheet usersReal number and date cells (in the column’s date format), merged cells kept, bold totals row.
PDFPrinting, attaching to emails, sign-offAn A4 document titled with the field name, header row repeated on every page, page numbers, merged cells kept. Wide tables switch to landscape automatically.
Word (.docx)Reports and documents you want to editAn editable Word table with merged cells kept.
CSVOther tools and integrationsComma-separated UTF-8 — accented and Cyrillic text opens correctly in Excel.
CSV for Excel (semicolon)Excel set to a European localeSame as CSV but separated by ;, so Excel splits it into columns when you double-click the file.

What’s in the file

  • Exactly what you see: your current search and sort are applied, and all pages are included — not just the visible page.
  • Readable values: user columns show people’s names, selection columns show option labels (multi-select values joined with commas), and formula and sequence columns show their calculated results.
  • Checkboxes: TRUE / FALSE in Excel and CSV; a check mark (or blank) in PDF and Word.
  • Totals row at the bottom when the table has column summaries.
  • Merged cells stay merged in Excel, PDF and Word. CSV has no merged cells, so each row gets its own cell.
  • Always the grid layout, even if you’re viewing the table transposed, so the file is spreadsheet-friendly.
  • While editing, the export contains your unsaved changes as shown on screen.

Files are named <issue key> - <field name> - <yyyy-mm-dd>, for example SUP-42 - Quote line items - 2026-10-12.xlsx.

Importing rows from a file

Import adds rows to the table from a CSV or Excel (.xlsx) file — for example a list exported from another system, or a table you exported earlier and edited in Excel.

1. Start the import

  1. Open the table and click Edit.
  2. Click the Import (upload) icon on the left of the toolbar, next to + and ×.

2. Choose a file

Drag a file onto the dialog or click Choose file.

  • Supported: .csv and .xlsx (from Connected Table, Excel or Google Sheets), up to 2 MB.
  • Comma-, semicolon- and tab-separated CSV files are detected automatically.
  • If an Excel workbook has several sheets with data, you pick the sheet to import.
  • Old .xls workbooks aren’t supported — in Excel, save the file as .xlsx or CSV UTF-8 first.
Step 1 — choose a .csv or .xlsx file. Change the encoding only if accented or Cyrillic text from an older Excel CSV looks garbled.

3. Map the columns

The first row of the file is treated as headers. Each table column is matched automatically to a file column with the same title (or column id) — case, spaces, dashes and underscores are ignored. Check the matches and change any of them with the dropdowns, or set a column to Don’t import. File columns that aren’t mapped are ignored.

Formula and sequence columns are calculated, so they can’t be imported — they fill in automatically.

4. Add or replace

  • Add to the existing rows — the imported rows are appended after the current ones.
  • Replace all existing rows — the current rows (and any merged cells) are removed and replaced by the file’s rows.

5. Preview and import

A preview shows the first 20 rows exactly as they’ll be imported, with a summary such as “48 rows to import · 3 cells need attention (imported empty)”. Cells that can’t be converted are highlighted — hover one to see why — and the first few problems are listed below the preview.

Step 2 — check the column matches, choose Add or Replace, and review the preview. Cells that can't be read are highlighted and imported empty.

Click Import N rows. The dialog closes and the rows appear in the table as unsaved changes.

6. Review and save

Nothing is written to Jira until you click Save. Fix any highlighted cells, then save as usual — required-column checks apply. Click Cancel to throw the import away.

How values are read

Column typeAccepted values
TextAny text. Text longer than the column’s maximum length is shortened (you’ll see a warning).
Number / Integer1234.5, 1,234.5, 1.234,5, 1 234,5 — both decimal styles are understood. Integer columns reject fractions. Numbers are rounded to the column’s decimal places.
CheckboxChecked: true, yes, y, 1, x, ✓, on. Unchecked: false, no, n, 0, off, or empty.
Date / Date-time / TimeThe column’s own format, ISO format (2026-10-12, 2026-10-12 14:30), or real Excel date cells. Stored in the column’s format.
Single selectMust match one of the column’s options (case doesn’t matter).
Multi-selectOptions separated by , or ; — each must match an option.
UserAn exact display name, an email address, or an Atlassian account ID. If no user or more than one user matches, the cell is flagged rather than guessed.
  • Problem cells are imported empty — never silently wrong. If the column is required, Save stays blocked until you fill them in.
  • Table columns you didn’t map get their default value, just like a row added with +.
  • Completely empty rows in the file are skipped.
  • Merged cells in an Excel file are read correctly (the value is used for every row it covers), but imported rows aren’t merged in the table.

Table size limit

A table has a maximum size (roughly 100–150 rows, depending on columns and content). If the import would go over it, the Import button is disabled and the dialog tells you how many of the file’s rows would fit — split the file, or use Replace instead of Add.

Round-trip editing

Exported Excel and CSV files import back cleanly: the headers match the column titles, so mapping is automatic. A common pattern is to export, edit in Excel, then import with Replace all existing rows.

Admin settings

Both features are set per field context in the table settings (see the Admin Guide):

SettingDefaultEffect
Let viewers export the table (CSV, Excel, PDF, Word)OnShows the Export icon to everyone who can see the table, including portal customers.
Let users import rows from a file while editing (needs add/remove rows)OnShows the Import icon in edit mode. Only available when adding and removing rows is allowed.

Privacy

Exported files are built in your browser and saved directly to your computer. Imported files are read in your browser and never uploaded — only the rows you save end up in the Jira issue, exactly as if you had typed them in.
